This policy outlines the terms for cancellations, refunds, and client responsibilities when engaging Visas 4 Travel for visa-related services. It applies to all clients using our services across all territories of operation, including but not limited to the UK, EU countries, and other regions where services are provided.
2. Definitions
Client: Any individual, group, or organisation seeking visa-related services from Visas 4 Travel.
Services: Includes visa consultation, application form assistance, document review, submission to embassies or consulates, collection, and courier services.
Third-Party Fees: Non-refundable fees charged by embassies, consulates, visa application centres, or courier services.
Cancellation: The client’s decision to terminate a requested service before its completion.
Refund: The reimbursement of eligible service fees to the client as per this policy.
3. Client Acknowledgement
By engaging our services, clients acknowledge and accept this policy in its entirety. Clients are advised to carefully read the terms before initiating any service.
4. Cancellation Policy
4.1. By the Client
Before Submission to Authorities:
Clients may cancel their service request before the visa application is submitted to the relevant embassy, consulate, or visa application centre.
In such cases, a partial refund will be issued, deducting:
Administrative Fee: £50 or equivalent in the local currency.
Any incurred costs, such as document shipping or courier fees.
After Submission to Authorities:
Once a visa application has been submitted to the relevant authority, cancellations will not be permitted.
Third-party fees (e.g., embassy processing fees) and Visas 4 Travel service fees are non-refundable.
4.2. By Visas 4 Travel
Visas 4 Travel reserves the right to cancel services if:
The client provides false, misleading, or incomplete information.
Required documentation is not submitted within the agreed timeframe.
The client engages in fraudulent or illegal activities.
In such cases, no refund will be provided.
5. Refund Policy
5.1. Non-Refundable Fees
Third-party fees, including embassy processing fees, courier charges, and other associated costs, are non-refundable under all circumstances.
5.2. Refund Eligibility
Refunds will only be provided under the following conditions:
If Visas 4 Travel is unable to deliver services due to its own error, a full refund of service fees will be issued.
If the client cancels services before submission to authorities, a partial refund will be issued as described in Section 4.1.
Refunds will not be granted if:
A visa is denied due to:
Incorrect, incomplete, or misleading information provided by the client.
Failure to provide requested documentation.
Delays or non-responsiveness from the client.
The client fails to adhere to agreed timelines or instructions.
5.3. Refund Amounts
Pre-submission cancellations: Refund will exclude:
Administrative fees (£50).
Costs incurred for services already rendered (e.g., document reviews, consultations).
Post-submission cancellations: No refund will be provided.
5.4. Refund Process
Request Submission:
Refund requests must be submitted in writing to [insert email address] within 14 calendar days of the cancellation or visa decision.
Requests must include:
Client’s name.
Contact details.
Service reference number.
Reason for the refund request and supporting documentation (if applicable).
Processing Time:
Refunds will be processed within 30 working days of receiving a valid request.

Approved refunds will be issued via the original payment method or another mutually agreed method.
6. Client Responsibilities
6.1. Provision of Accurate Information
Clients must ensure all information provided is accurate, complete, and truthful. Visas 4 Travel will not be held liable for delays or visa rejections caused by errors in the client’s submission.
6.2. Compliance with Deadlines
Clients must submit required documents within the timelines agreed upon at the start of the service. Delays in submission will result in forfeiture of refunds and possible additional charges for resubmission.
6.3. Understanding Third-Party Policies
Clients are responsible for understanding and complying with the requirements and timelines of third-party organisations (e.g., embassies, consulates).
6.4. Changes to Travel Plans
Visas 4 Travel is not liable for changes to the client’s travel plans (e.g., cancellations, reschedules) and does not provide refunds for associated losses.
7. Limitations of Liability
Visas 4 Travel is not responsible for:
Delays or decisions made by embassies, consulates, or visa processing centres.
Circumstances beyond its control, including but not limited to natural disasters, strikes, or governmental policy changes.
Financial losses incurred due to visa rejections or delays.
8. Additional Provisions for Multi-Territorial Operations
Territorial Fees and Policies:
Clients from the UK, EU, and other regions may be subject to additional local regulations, which will be communicated at the start of the service.
Multi-Jurisdictional Requirements:
Visa services requiring submission to multiple authorities will follow the cancellation and refund rules of the primary processing territory.

10. Governing Law and Jurisdiction
